Administrative Coordinator

Starting Salary: $30/hour
Hours: ~20 hours/Month (may be more during conference season and less off season)
Duration: 8 months with possibility of renewal

The Canadian Association of African Studies is looking for a part-time bilingual (French/English) Administrative Coordinator who will coordinate and organize CAAS meetings and events, execute CAAS administrative functions and manage CAAS communications/website. The ideal candidate will possess excellent project management, planning and networking abilities, and strong communications skills.

Duties and Responsibilities

  • Provide support to the CAAS Board and CAAS committees
  • Prepare materials for CAAS meetings and liaise and coordinate with the CAAS president and committee chairs in the production and distribution of meeting materials
  • Coordinate CAAS meetings and calls; write and distribute meeting minutes
  • Prepare emails and draft letters for CAAS President and Conference committees
  • Help recruit CAAS members to participate in committees
  • Assist with planning the annual conference (e.g., help recruit conference organizing team, register conference with IRCC, draft conference acceptance/rejection and visa letters in English and French)
  • Assist with planning CAAS events and programs
  • Draft conference acceptance/rejection and visa letters in English and French
  • Communicate and share resources with CAAS members,
  • Prepare monthly newsletters (e.g., job opportunities, CAAS events, Call for papers)
  • Manage and maintain social media accounts and the CAAS website
  • Respond to inquiries from CAAS members
  • Update and maintain membership data base
  • Other duties may be assigned from time to time

Qualifications

  • Ability to take initiative
  • Ability to multi-task and work independently with minimal supervision
  • Strong organizational skills as well as being attentive to details
  • Strong communication and interpersonal skills in order to respond to inquiries and issues, prepare written responses and reports

 Job Requirements

  • Post-secondary education
  • Bilingualism is required; excellent written and oral communication skills in English and French, including writing for the web.
  • Advanced software skills including Word processing, spreadsheets, database management, email, and scheduling.
  • Demonstrated interest in African Studies and understanding of how scholarly associations function would be an asset
  • Travel may be required for Conference meetings.
  • You must be legally allowed to work in Canada to be eligible for this position.
